Private Training Policies

To ensure a smooth and efficient experience for all athletes, the following policies apply regarding cancellations, reschedules, forfeits, and late arrivals:

Private Training (1 Person):

Cancellations Within 24 Hours: Cancellations made less than 24 hours in advance will result in the session being forfeited with no refund, credit, or rescheduling option.
 
Rescheduling Policy:
Rescheduling Fee: A $35 fee applies for rescheduling requests made more than 24 hours in advance. The rescheduling request must be completed, and the fee paid, within 72 hours of the original request. Failure to do so will result in session forfeiture.
Rescheduling Deadline: The rescheduled session must be completed within the original session date window (e.g., the same month as the original session).

Same-Day Cancellations:
If an athlete is unable to attend due to illness or unforeseen circumstances, the session will be forfeited with no refund or credit.
 
Late Arrival Policy:
  1. Grace Period: Athletes are allowed a 20-minute grace period to arrive for their scheduled session.
  2. Arrival Beyond Grace Period: If an athlete arrives more than 20 minutes late, the session will be considered a forfeit, with no refund, credit, or rescheduling option.
  3. Session Shortening: Athletes arriving within the 20-minute grace period will have their session shortened accordingly.
  4. Importance of Punctuality: Timely arrival ensures the full session can be utilized effectively and respects the time of both the coach and athlete.
 
Injury Policy:
  • If an athlete sustains an injury and cannot attend scheduled sessions: Doctor’s Note Required: A doctor’s note confirming the injury and the expected recovery timeline must be provided.
  • Remaining Sessions: We will review the number of unused sessions in the athlete’s package. Sessions may be paused and rescheduled to align with the athlete’s recovery timeline.
  • Credits Policy: Credits for unused sessions are non-refundable, non-transferable, and will expire 6 months after issuance.
  • Physical Therapy Coordination: It is the athlete’s responsibility to provide updates on their recovery progress and clearance to resume training. Once cleared, we will:
  1. Add the athlete to a group session, if space is available.
  2. Resume private training, if requested. Note: Private training sessions will incur higher costs than group sessions.
 
Coach Consistency Policy:
At CAL Sports Academy, we value the importance of consistent coaching to help athletes achieve their training goals. We strongly encourage customers to book all their sessions with the same coach whenever possible to maintain continuity and foster a strong athlete-coach relationship. While we strive to provide this consistency, there may be circumstances such as emergencies or coach unavailability that require adjustments. In such cases, CAL Sports Academy reserves the right to assign a qualified replacement coach to ensure uninterrupted and high-quality training.
